EARS & EARSlite privacy policy 

Summary and Overview

Datatrans Ltd respects the privacy of all users of this website, EARS or EARSlite applications. We are committed to protecting the privacy of our clients lists and data as well as the personal information of their donors, supporters, volunteers, and people they canvass or survey.  To maintain that security we retain personal data (login records) of users who those clients (political parties) have authorised to register, login and access the website, EARS or EARSlite software. 

Electoral Roll, Canvass & Survey data held on our servers for use in our EARS & EARSlite applications is the property of our political party clients and subject to their own privacy statements.  If you wish to exercise your rights to access or delete the data we hold on their behalf please view their privacy policy and contact those clients (eg that particular political party) directly. We follow their instructions and are authorised by them as "Approved Suppliers" to process their data.

Our applications validate that your registration & login records match those authorised by those clients.  We then ensure that any canvass or survey data that you collect on their behalf is not shared with any 3rd party other than that particular client.

This privacy statement explains what data our applications hold in order to maintain registration and login security and how to contact us if you wish to exercise your rights to access or delete that registration or login security data.  

EARSlite asks for permission to store local data on your phone or tablet, to the internet (in order to send data you collect to your own political party) and to location services in order to display your own location within google maps displaying canvass locations.

Who are we

Datatrans Ltd (trading as EARS) collects, uses and is responsible for certain personal information about you. When we do so, we are regulated by the General Data Protection Regulations which apply across the European Union (and United Kingdom) and we are responsible as "data controller" of that personal information for the purposes of those laws. 

What data do we store & how is it used

Our clients provide us with usernames, passwords & registration details (name, phone number and email addresses) of supporters who are authorised to register or login to EARS or EARSlite applications.  We store that data in order to check that personal data you then supply then matches those same records.  (They could be pseudonyms and don't thus actually need to be real names).

We may share your information with Law enforcement agencies in connection with any investigation to help prevent unlawful activity. 

We only share canvass or other data you enter into our applications with the client organisation (political party) you are authorised by.  That data remains the property of those client organisations, we protect it and follow their instructions (should for example an individual exercises their rights under the GDPR right to forget).

We hold your and our clients information for up to 12 years in order to satisfy party security and statistical needs. These periods are no longer than necessary.

We use your personal information in order to ensure that electoral roll and client data is only shared with authorised party volunteers and thus complies with that client's own GDPR obligations.

Keeping your (and client) information secure

We use appropriate security methods to prevent personal information being accidentally lost, used or accessed in an unauthorised way. We limit access to those who need to know it and are subject to a duty of confidentiality.

We have procedures in place to deal with suspected data breaches.  We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

We encrypt data sent via the internet from our applications to keep it secure. 

While we thus use all reasonable efforts to secure your and our clients personal data, in using this site and our applications, you acknowledge that the internet is not entirely secure and for this reason we cannot guarantee the security or integrity of any personal data transferred from you or our applications via the internet. Transfers of your information out of the EEA

Our servers are in the UK.

We will not transfer your personal information out of the EEA at any time. 

What rights do you have?

Under General Data Protection Regulations you have important rights that include:

- fair processing of information & transparency over how we use personal information

- access to your personal information (in a machine readable format)

- require us to correct any mistakes in information that we hold

- require the deletion of personal information if it is incorrect or relevant

- object at any time to your information being used for direct marketing 

- object in certain other situations to our continued processing of your information

- otherwise restrict our processing of your information

- claim compensation for damages caused by our breach of any data protection laws

Your use of our website and EARS or EARSlite software constitutes your consent to and your agreement with this Privacy statement. If you do not agree to this policy then you are not permitted to use our software or our services.

Datatrans Ltd reserves the right at any time and without notice to make minor changes to this privacy notice simply by posting the change to our Web site (so users are encouraged to review this page on a regular basis). 

We would however try to inform all users if there was any major change.  Your continued use of our software would signify your acceptance of those changes.
